Purpose and legal basis for processing

Our purpose for collecting personal data during the fee payment process is so that we can contact you about your fee payment and about any other queries relating to the service you have paid for.

The legal basis we rely on to process your personal data is related to the payment details of the service, and article 6(1)(a) of the GDPR in relation to the use of our online subscription services on site.

What we need?

If you are required to pay a fee for any paid subscription service, we need to take certain personal information from you during the course of the process. This includes the name and contact details of the person who is responsible for paying the fee, as well as details of the person who will be using the service, where these are different. We'll also take payment information including all relevant account details to ensure payment and reduce fraud.

We need a user name and password to enable you to connect to our services.

We need payment information so that we can continue to provide the service at the current subscription rates.

We need contact information to send information about the subscription or service, fee payment reminders and to raise any queries we may have about your payment.

We also use your user name to display it the online social media activities you participate in on the web site, which includes but are not limited to:

Being able to identify users also enables us to protect you from some abuses from other users where we are able to identify them.

We may also contact you if we have a query outside the fee process relating to the service or account you are receiving.

What we do with it?

We create an online account which connects your payment details and your online activity.

We email the payment and account details to you for your records

We will send out a reminder when your subscription is due for renewal.

How long we keep it?

For information about how long we hold personal data, we are currently finalising a retention schedule to make it clearer.

What are your rights?

We process personal data contained in fee payments in our capacity as a service provider, so you have the right to object to our processing of your personal data. There are legitimate reasons why we may refuse your objection, which depend on why we are processing it.
